1. Tips and checks for quarterly module submission: 0800 (UTC/GMT), Thursday, 12 November 2009

  • Before finalising your module submission, please remember to refer to the Quarterly Module Submission Checklist at http://ims.cochrane.org/support/crgs/user-guides, which is also included in the 'The CRG Super User's Guide to Archie' (see pages 70 and 71).
  • The deadline for the quarterly module submission is displayed in your local time on the event listing in the Calendar on the Organizer tab in Archie.
  • Be sure to check the Publication Report in Archie (click CRG name and choose Reports > Publication Report) to ensure that new, amended and updated reviews marked for publication in Issue 1, 2010 will generate the correct flags in The Cochrane Library when published.
  • Please note that the headings in the Wiley quarterly module submission report, which you receive following the acceptance of your module submission by Wiley, do not precisely match the report headings in the Archie Publication Report. If you are unsure whether the two reports agree, please contact your IMS Support person. 

2. Reminders

  • Please check that you have no duplicates to resolve in Archie (Tools > Resolve Duplicates...). If an unresolved duplicate is causing you a problem, please contact your IMS Support person for assistance.
  • As long as you have a faxed or scanned version of the signed Licence for Publication form from all authors listed on the byline of a new citation version of a Protocol or Review, you do not have to ask the author to post the form to you.

3. Latest Archie deployment: version 2.8.3
There have been several Archie deployments in October. The latest Archie deployment took place on 14 October 2009. Most of the new features relate to Workflows. For full details of this latest deployment, please see What's New under Help in Archie.

4. Declarations of Interest form
The Declarations of Interest form has been added to the RevMan Reports in the latest version of RevMan (5.0.22), which was released on 15 October 2009. Please check to ensure that you are using the latest version of RevMan (Help > About).

5. Authors' complimentary copies of The Cochrane Library
Please remember to inform the Contact Persons of new and updated Reviews of their entitlement to a complimentary subscription to The Cochrane Library when you inform them that their Full Review has been accepted for publication. You will also need to inform them that if they are eligible to receive a complimentary subscription, they will see a Subscription tab on their personal Properties in Archie when their Review is published in The Cochrane Library. (We suggest that you inform Contact Persons of the date of the Issue of The Cochrane Library in which their new or updated Reviews will be published.) The default subscription status will be set to 'Suspended'. Therefore, if they wish to receive a complimentary subscription, they will have to edit the default subscription status from 'Suspended' to 'Online' or 'DVD-ROM'. They also have the option to donate their subscription to someone else with a record in Archie, e.g. a co-author.

Note: the Contact Person for a Full Review (i.e. not a Protocol) is eligible to receive a complimentary subscription to The Cochrane Library for approximately two years from when the Full Review is first published or updated. The exact expiry date of the subscription is 2.5 years from the date entered in the 'Assessed as Up-to-Date' field in the RevMan file.

6. Latest Archie deployment: version 2.8.3
As mentioned above, the majority of the many new features and bug fixes in the October Archie deployments relate to workflows and are the result of your feedback. For full details of all the October deployments, please see What's New under Help in Archie.

7. Review Update, Review Amendment and Protocol Amendment workflows
As part of the October deployments, the above templates are now available in Archie. Please remember to start Update workflows following the marking of new or updated Reviews for inclusion in the 12 November quarterly module submission.
