Example email reply to query from an author now working on a draft in RevMan 4 about whether/when they should convert to RevMan 5, and whether they should convert the review themselves or let the CRG editorial base do this for reviews that are not in the editorial process.
Dear XX,
Thank you for your email. We would suggest that you send us your [draft/amended/updated] Cochrane [review/protocol] in RevMan 4 format and we will convert it to RevMan 5 format for you. When we have completed the editorial processing of your [protocol/review], I will notify you that it is available for check out from the Collaboration’s central server, Archie (http://archie.cochrane.org). I will also initiate the process of creating a user account in Archie for XX [Contact author] at that time, if he/she doesnot already have one.
For details regarding RevMan 5, I refer you to the letter sent to all authors by the Cochrane Collaboration Steering Group Co-Chairs on 6 March 2008 (PDF available at http://www.cc-ims.net/authors/rm5-letter.pdf). This letter explains what this means for review authors, along with information on where and how to download RevMan 5, most of which can be accessed from http://www.cc-ims.net/authors.
Please feel free to contact me with any questions you may have between now and then.
With best wishes,
