Example email requesting contact authors to let the editorial base if they are currently working on RevMan 4 reviews.

Dear contact authors

You will have read that all reviews in Archie must be converted to RevMan 5 before the November 2008 module submission (see letter at http://www.cc-ims.net/RevMan/RevMan5/Pilot-authors-letter.pdf). Drafts currently in the editorial process and new drafts we receive for editorial approval are automatically converted to RevMan 5 as part of the editorial process, which means that the currently published versions of these drafts will also be converted to RevMan 5. We must now plan the conversion of all our other published protocols and reviews.

Before starting to convert the rest of our Group’s published protocols and reviews, it is important that I know if you have a more up-to-date version of your published protocol/review because once a RevMan 4 file has been converted to RevMan 5, it cannot be reverted to RevMan 4. Therefore, if you are the contact person for one of our Group’s published protocols or reviews for which a draft is not currently in the editorial process, please reply to this message by answering the question(s) below.  

(1) Are you currently preparing the review for a published protocol or updating a published review?

            YES / NO

(NOTE: If you answer ‘NO’, we will convert your published protocol/review to RevMan 5 and let you know when we have done this.)

(2)        If YES, please give the title of the protocol(s) or review(s) you are currently preparing and let me know if you plan to send me your draft(s) for editorial approval before 31 October 2008 or not.
