Example email notifying author that their review that is not in the editorial process has been converted and edited.
Dear XX,
This is to let you know that, in accordance with Collaboration policy, your [review/protocol] has been converted to RevMan 5 format. For details regarding RevMan 5, I refer you to the letter sent to all authors by the Cochrane Collaboration Steering Group Co-Chairs on 6 March 2008 (PDF available at http://www.cc-ims.net/authors/rm5-letter.pdf). This letter explains what this means for review authors, along with information on where and how to download RevMan 5, most of which can be accessed from http://www.cc-ims.net/authors. I have also attached the Quickstart guide for your information.
We have initiated the process of creating a user account for the Contact author so [he/she] can to access the [review/protocol] to view or edit it by checking out the latest version from the Collaboration’s central server, Archie (http://archie.cochrane.org).
Your converted [review/protocol] has been copy edited and checked. It is now ready for you to approve the edits we have made before I release it for publication. Please read the latest version of the [review/protocol] in Archie and let me know if you are happy with the latest version. You can identify the edits we have made by comparing version XXX with version XXX in the History tab of the Properties for the [review/protocol] in Archie - please see the attached Quickstart guide for authors on how to compare versions.
In summary the edits the team have made include:
- updating the search date to Jan 2008 and the date assessed as
up-to-date;
- moving the detailed search strategies to an appendix
- adding our standard paragraph to the acknowledgements section to
describe the pre-publication process of the review
- various style edits according to the Cochrane Style Guide, including
using the new heading styles in RevMan 5
If you have any questions about the edits we have made, please let me know.
For your information, reviews which are not in the editorial process and that are simply converted to RevMan 5 by the editorial base and republished (i.e., that are not new citation versions) do NOT require a new Licence for Publication form.
With best wishes,
