Example email for reviews that are not in the editorial process, notifying authors that the review is due to be converted by the editorial base, and that the contact person should let the RGC know by date X whether they have a more up-to-date RevMan file than is in Archie.

 

Dear XX,

This is a short email to let you know that, in accordance with Collaboration policy, I will be converting your [review/protocol] to RevMan 5 format. For details regarding RevMan 5, I refer you to the letter sent to all authors by the Cochrane Collaboration Steering Group Co-Chairs on 6 March 2008 (PDF available at http://www.cc-ims.net/authors/rm5-letter.pdf). This letter explains what this means for review authors, along with information on where and how to download RevMan 5, most of which can be accessed from http://www.cc-ims.net/authors.

Can you please let me know by date X if you have made any updates / changes to your RevMan 4 [protocol/review] Cochrane [Title] since it was published on The Cochrane Library? If I do not hear from you by date X I will convert your [protocol/review] into RevMan 5 format. Once a [protocol/review] has been converted into RevMan 5 format it cannot be reverted to RevMan 4 format.

After your [protocol/review] has been converted I will notify you that it is available for check out from the Collaboration’s central server, Archie (http://archie.cochrane.org). I will also initiate the process of creating a user account in Archie for Contact author at that time, if you do not already have one.
