1. Report on Archie quarterly submission for The Cochrane Library 2007, Issue 4 (from Ben Hickling, Project Editor, John Wiley & Sons)
Wiley collected data for all Cochrane entities from Archie at the quarterly submission time and emailed feedback reports to all CRGs. Errors were found in two Review Groups' data, and 13 CRGs requested late changes, so their modules were unlocked to allow these to be made, then re-collected.
It's vital that RGCs continue to check Wiley's emailed submission reports as it is still possible for there to be errors in Groups' quarterly submissions. In this case, there were reviews where the dates of most recent substantive amendment were in the future.
Reports are sent to RGCs and Assistant RGCs that are set up in Archie. If it isn't possible for you to check the reports at submission time due to other commitments or holidays then please arrange for someone else to do so and email cl-submission@wiley.co.uk to request that the report for this issue is copied to this person's address.
2. RevMan 5 rollout and implementation strategy
The RevMan 5 rollout and implementation strategy has been approved by the Cochrane Collaboration Steering Group. For details, please see http://www.cc-ims.net/RevMan/RevMan5/, which also includes a RevMan 5 timeline. You will note from the timeline that your IMS Support person will be contacting RGCs individually early next year to discuss the transition to RevMan 5 for their CRG.
We are finalising the RevMan 5 FAQ (based on many of the questions you have asked us over the last year) and will let you know through this Bulletin when it has been uploaded to http://www.cc-ims.net/.
3. RevMan 5 beta testing now underway
The beta testing of RevMan 5 is now underway - see http://www.cc-ims.net/RevMan/RevMan5/beta for details.
Some of your authors may have signed up as RevMan 5 beta testers or may have heard about the software and are keen to use it to prepare or update their reviews. It is important that authors are aware that they should only use RevMan 5 beta for live work if they are prepared to take the risks that follow from using a beta version and understand that CRGs will not be able to release RevMan 5 reviews for publication until the official release date of RevMan 5.
4. Reminder: marking duplicates
Remember to mark duplicate People records in Archie as you come across them. If you don't have permission to mark the duplicate record, please contact your IMS Support person so that we can mark it for you.
5. IMS-related workshops
We would like to draw your attention to the following workshops.
(a) Melbourne, Australia: 'Introduction to new Cochrane Handbook Methods and RevMan 5': a workshop for Cochrane authors to be held on 7 December 2007. For more details, see http://www.cochrane.org/news/workshops.htm .
(b) XV Cochrane Colloquium, Sao Paulo, Brazil:
'Workflows for Review Group Co-ordinators piloting the Information Management System (IMS) tracking system' at 1630 on Friday, 26 October 2007, Sao Paulo, Brazil : a closed workshop for RGCs who have volunteered to pilot the workflow/tracking system being developed for Archie. The wokshop will demonstrate how the workflows in Archie can help RGCs and other editorial staff manage and track the progress of tasks involved in the editorial processing of Cochrane reviews, provide some initial hands-on experience, and obtain feedback from participants.
'RevMan 5: a training workshop for those teaching authors how to use RevMan' at 1400 on Saturday, 27 October 2007. This workshop is primarily aimed at Centre staff.

6. Question of the week
Question:I have assigned the Wiley Copy Editor the Copy Editor Document Role for the review I would like her to copy edit. Do I delete the Document Role after she has checked-in her copy-edited RevMan file to Archie?
Answer: We would advise you not to delete the Document Role for the Copy Editor because it allows (a) the copy editor to compare her copy-edited version with the version to be published so that she can identify any copy edits the CRG has decided not to accept and, if necessary, discuss with the RGC; (b) the Copy Editor, Wiley and the CRG to run a report to identify all the reviews a named Copy Editor has copy edited (right-click on the person's name and choose Reports > Person report); and (c) the CRG to identify if a review has been centrally copy edited, and by whom, by running a report (right-click on the title of the review and choose Reports > Document Report).
