(a) Tips and checks for quarterly submission on Wednesday, 22 August 2007
Before finalising your quarterly submission, please remember to read pages 30 and 31 of the Phase 2 User Guide (http://www.cc-ims.net/Projects/newIMS/phase2/Phase2-User-Guide.pdf) on preparing your quarterly module submission to The Cochrane Library. If you have any queries about your submission, please contact your IMS Support person.

(b)Republishing the module text
Please remember that, like reviews, you must run the Publication Wizard if you would like to publish a new version of the module text or would like to update the contact details and Topics list published in The Cochrane Library for your Group.

(c) Cut-off for submission
All modules must be completed by 0700 GMT/UTC (8am British Summer Time) on 23rd August, at which time modules will be locked by the Publishers for processing. The "Quarterly submission deadline" event listing on the Organizer tab will display the deadline in your local time.

2. Module text: Warning

We have had reports from RGCs of problems when editing the module text (e.g., all text turning bold when saving the module text after editing around fixed headings; not being able to save the text). We are aware that there are problems with the module editor, some of which have been fixed. Suggestions for improvement have also been added to the Archie wishlist. However, because of other priorities, resources cannot be diverted to investigate the problems further at the moment. We therefore suggest that you take particular care when editing your module text, save regularly, check what has been saved in Archie and report to your IMS Support person the events that lead up to any problems you encounter.

3. Questions of the week

(a) Question: If I enter the reference for a published protocol as it is cited in The Cochrane Library (i.e. add '(Protocol)') after the full stop after the title), RevMan validation check reports a Warning. What should I do?

Answer: You should not add the word "(Protocol)" in RevMan when referencing a Cochrane protocol because the Cochrane Publishing Policy Group agreed that Wiley will add "(Protocol)" before the full stop after the title when the protocol is referenced in The Cochrane Library. However, the positioning of the word "(Protocol)" will not be changed until reviews are published in RevMan 5, which will include a new reference type called "Cochrane Protocol".

(b) Question: We are using Copy Edit Support. Do I give the Wiley copy editor an Entity Role with our Group?

Answer: No. Copy Editor is not a CRG Entity Role. Copy Editor is a Wiley Entity Role and a CRG Document Role. Wiley is therefore responsible for assigning the Entity Roles for their Copy Editors. You are responsible for assigning the Wiley copy editor with the Copy Editor Document Role for the review s/he will be copy editing and for ensuring that the Write Phase is Editorial so that the copy editor can check the review out to RevMan.

(c) Question: I want to delete a review that has been superceded by a new review following a new, published protocol. How do I do this?

Answer: You can't delete a review. Once a review has been published in The Cochrane Library, it can be withdrawn but not removed from publication. Only the Reason for withdrawal (i.e. described in the Published notes), Sources of support and Coversheet for a withdrawn review will be published although the full review can still be read in the Other Versions section in The Cochrane Library. If you withdrew the review when the new protocol was first published, remember to revisit the Published notes of the withdrawn review when the full review is published in case the Published notes need to be updated.
