1. Person report

Remember that you can run a report in Archie to identify all the protocols and reviews for which an individual has a Document role. To do this, search for the person, right-click their name and choose Reports > Person report.

2. Module text editor

Thank you to the RGCs who provided details after the May module submission about the problems they experienced when editing the module text. The IMS team acknowledge that there are problems with the module text editor and intend to address them. However, because of other priorities, this cannot happen in the immediate future. To help, we will provide you with some guidance in the next pre-module submission IMS Bulletin on the problems you might experience when editing the module text and how to avoid or manage them at the moment. In the meantime, please continue to describe and report any problems you experience to your IMS Support person so that we can continue to collate them.

3. Removal of Entity roles not relevant to CRGs

The Entity Properties contains information about entities including the list of Entity roles available for use by the entity. The roles available vary according to the type of entity (e.g. Review Groups have different roles to Centres). The list of roles available to CRGs was approved by the Steering Group in April 2005. Since 2005 we have been encouraging CRGs to only use the approved CRG roles, which are described in Appendix C of the Phase 1 User Guide (http://www.cc-ims.net/Projects/newIMS/RGC_User_Guide_Phase_1.pdf). We now plan to remove centrally the Entity roles, which should not be used by CRGs, from the list of Entity roles available to CRGs. This will be done by the System Administrators on Friday, 29 June 2007. The roles that will no longer be available from that date are:

- Administrator
- Advisory Board Member
- Co-author
- Co-ordinator
- Deputy Co-ordinating Ed.
- Editorial team
- Member
- Peer reviewer

Next Friday, 29 June, people with any of the above roles will be assigned another relevant role with the previous role moved to the Specification field (e.g. 'Member' will become 'Other (Member)' ) before the Entity role is removed from the list of roles available to CRGs. If you wish to make these changes yourself, please make them before 29 June 2007.

4. Question of the week

Question: I have two email addresses: one that I use for everything relating to my role as an author, which should be published in The Cochrane Library, and another that relates to my job as a member of the CRG editorial staff. How do I manage this in Archie?

Answer: You can hold more than one email address in Archie. To add a second email address to your Properties, go to the General tab, click on the pull-down list labelled Email and choose Email 2. Add an email address and click Apply. It is important to note that the Publication Wizard will pick up and publish only the primary Email. Thus, if the second email address is the one you use for publication in The Cochrane Library, you will need to change it from Email 2 to your primary Email address before running the Publication Wizard. Once you have released your review for publication, move your authoring email address back to Email 2 and the email address you use for your everyday work back to the primary Email field.
