1. Reminder: tips and checks for module submission on 15 November 2006

Before finalising your module submission, please remember to read pages 30 and 31 of the Phase 2 User Guide (www.cc-ims.net/Projects/newIMS) on 'Preparing your quarterly module submission to The Cochrane Library'.

Please also remember to (a) contact your IMS Support person for assistance if you have not had a response from the Primary Entity Super User to your Suggest changes to contact details for a Contact author whose review you will be publishing in next week's module submission; and (b) check that you have no duplicates to resolve in Archie (Tools > Resolve duplicates...).

2. Citations to Cochrane reviews in Cochrane reviews

From Issue 1, 2007 of The Cochrane Library, the references in all new and substantively updated Cochrane reviews will contribute towards the impact factor for the Cochrane Database of Systematic Reviews when these reviews are listed in ISI. It is therefore important to remember that, if a new or substantively updated review in the 15 November 2006 module submission cites another Cochrane review that is already in ISI (i.e. new and substantively updated reviews published in 2005 and 2006), it cites it correctly in order for ISI to match this citation to the relevant Cochrane review. As a reminder, the fields that should be completed for reference type 'Cochrane review' in RevMan are: Authors; English title; Journal/book/source; and Date of publication; Issue. Please note that although it is important that you check that you cite references to Cochrane reviews correctly for new and substantively updated reviews for publication in Issue 1, 2007, it is not necessary to check and correct them retrospectively.

In addition, you can if you wish include the Art. No. and DOI information but you do not have to include this information at the moment. The RevMan Help file in the latest version of RevMan 4.3 confirms that it is not obligatory to provide this information, but, if you do, it states that you can enter the Art. No. and DOI information in the 'Other ID numbers (ID)' section. If you decide to enter this information, you must enter it in one of three ways. Examples of the correct formats are as follows:

  1. 10.1002/14651858.CD002281.pub2
  2. DOI: 10.1002/14651858.CD002281.pub2
  3. Art. No.: CD002281. DOI: 10.1002/14651858.CD002281.pub2

You can check that you have entered this information correctly by clicking on 'View citation'. If you cannot see the 'Other ID numbers (ID)' then you have entered it incorrectly. Note that when you view a review inside Archie, the references listed will not include the Art. No. and DOI information, even though this has been correctly entered in the RevMan file. This will be corrected in a later update to Archie.

Please remember to inform everybody involved in the editing of the references for your Group's reviews about this.

3. RevMan 4.3: latest version 23 October 2006

A couple of problems with the 16 October version of RevMan 4.3 were fixed on 23 October 2006. We therefore suggest tha you ensure that you are using the latest version and not the version released on 16 October 2006. For details of the fixes, see http://www.cc-ims.net/RevMan/RevMan4.3.

Please remember to remind anybody in your CRG who is not a Super User (and therefore does not receive the IMS Bulletins) but is using RevMan 4.3 and Archie (e.g. editors) to download the 23 October 2006 version of RevMan too.

4. Latest Archie deployment

A new version of Archie (1.12.2) was deployed on Wednesday, 8 November 2006, to update the review validation check for references to Cochrane reviews in Archie.

You may have noticed when running the Publication Wizard that you were warned about empty fields for PB and CY. These warnings have now been removed from Archie as we should not be completing these fields in RevMan for Cochrane reviews. Instead, a warning is now triggered if the SO field is not 'Cochrane Database of Systematic Reviews'.

5. Notification of registered titles

When you register a title in Archie, a message is now sent to the 'newtitles' email list. Everybody who was subscribed to the mail list at the Review Titles Manager has been transferred to the new list, and will have received a welcome message which included instructions on how to manage the subscription.

6. Question of the week

Question: When checking a review into Archie, a duplicate record for an existing author in our Group was created and is now linked to the review in Archie. What should I do?

Answer: If you are the Primary entity for both records, mark the new record as a duplicate of the first and then resolve the duplicate. This is the quickest way to make any necessary edits and ensure that the person retains his/her Document role for this review. If you are not the Primary entity for the main record, mark your record as a duplicate of the other record so that the Person’s Primary entity resolves it, which will retain the person’s Document role for this review.
