1. Latest Archie deployment
A new version of Archie was deployed on 6 February 2006. For full details of the updates, go to Help> What's new. The next deployment will not take place until after the February module deadline (unless there is an exceptional need to fix a critical bug).
2. Safeguards in Archie and backup strategy for preventing accidental loss of data
Data stored in Archie are protected against accidental loss in several ways:
- User action safeguards: the versioning system means that saving a new version of a document does not overwrite the previous one. Deletions require confirmation, and may not be possible if important links to other resources exist.
- Protection from disk failure: the servers running Archie store all data on two separate hard disks. In the rare event that one of the hard disks should suddenly break down, the system can continue working without problems while the faulty disk is replaced.
- Backup: the full database is backed up to a separate physical location every 24 hours. Each backup file is, at a minimum, kept for a week. After a week, only one file per week is kept, and for files older than a month, one file per month is kept.
Please note that backup files are kept to make it possible to restore data in the event of a system error or failure. Restoring data from backups is time-consuming and may not be appropriate in case of minor user errors.

3. Reminder: use of the Entity role 'Super User'
The RGC is responsible for assigning the CRG's Entity roles in Archie. Remember that the Entity role 'Super User' allows the user to create, edit and delete all People records and Reviews as well as publish and unpublish the module text and Reviews. The number of Super Users in a CRG should, therefore, be kept to a minimum. Instead, consider assigning Document roles to individuals in the Editorial team. We are currently reviewing the permissions assigned to Entity and Document roles and will send you details when we have finalised them. In the meantime, if the Document role doesn't work the way you expect it to, contact your IMS Support person.
4. Recommended RevMan 4.3 update: clearer indication of server in use
The latest version of RevMan 4.3 (dated 1 February 2006) makes it easier for you to ensure you are connecting to the server you meant to. RevMan now shows the sever on both the check-out and check-in windows, and if it is connecting to a server that is not the live server, the server name will be highlighted in red. Currently, the default when installing a completely new version of RevMan 4.3 is for it to connect to the Training server (130.226.106.133), but remember that the Server used can be changed under Settings. We recommend that you upgrade your RevMan 4.3 to the latest version using the update available from www.cc-ims.net/RevMan/RevMan4.3.
5. Tip: searching for specific text when viewing a draft in Archie
You can search for specific text when viewing a draft in Archie by using the short cut 'Ctrl-F'. This opens the Find function that is built in to your Internet Browser, which you may also find useful on other web pages.
6. Questions of the week
(a) Question: Can I search for specific items in previous IMS Bulletins?
Answer: Yes. You can search the entire CC-ims website, including the IMS Bulletins, by using the Search box in the top right-hand corner. You can include operators, eg search for "permissions AND bulletin".
(b) Question: I thought I had withdrawn a review from publication but I can't see it listed on my Publication report. Why?
Answer: Although you have correctly changed the Status of the Review from Active to Withdrawn on the Advanced tab of the Properties for the Review in Archie, you have to run the Publication Wizard for the withdrawal to take effect on the publication. The Wizard also ensures that the version being published as withdrawn contains the withdrawal notice.
