    1. 'Inactive' status for People records and Entity roles

    2. Pop-up blockers

    3. IMS question of the week: What are the differences between reviews viewed in RevMan 4.3 and those viewed in RevMan 4.2?

1. 'Inactive' status for People records and Entity roles

When you create a People record or add an Entity role to an existing person in Archie, you are doing this because someone is actively contributing to your CRG's work. The record or role by definition is therefore 'Active'. Since the Archie deployment on 28 April 2006, Super Users have been able to mark People records, for which they are the Primary entity, as 'Inactive' (by unchecking the 'Active' box on the person's Info tab of their Properties and adding a Reason, if they wish, e.g. 'Deceased'); and mark individual Entity roles, over which they have control, as 'Inactive' (by using Edit on the Roles tab for the highlighted Entity role and unchecking the 'Active' box). You can also now include the 'Active' status for people or roles as criteria in Advanced searches.

We think it is important for you to be aware of this now because there are plans for the Secretariat to identify 'Active' people through Archie when conducting future Steering Group elections.

When to mark an Entity role 'Inactive'

If you have an author who is no longer contributing to your CRG but has other roles within the Collaboration, you can either delete the Entity role 'Author' with your CRG from the person's record (but you shouldn't do this if the person is an author on a previously published review) or mark the role with your CRG as 'Inactive'. If you mark the role with your CRG as 'Inactive' and you were the person's Primary entity and they have active roles with other Cochrane entities, you should change the person's Primary entity before doing this (Properties > General > Primary entity).

When to mark a People record 'Inactive'

If you have an author who is no longer contributing to your CRG and s/he has no other role within the Collaboration, you may decide to remove the record from Archie (right click > Delete ...). However, if the person is an author of a previously published review, you will not be able to do this. Instead, you can mark the person's record 'Inactive' by unchecking the 'Active' box in the Properties (Info tab), which will open another box to allow you to enter a reason for marking the person's record 'Inactive'. It is important that you check the Roles tab on the person's Properties before marking a record 'Inactive' to ensure that s/he has no other roles within the Collaboration. If the person does have other roles, then proceed as described above, under "When to mark an Entity role 'Inactive'".

2. Pop-up blockers

Some of you will have noticed that your Google or Yahoo Search bar activates a pop-up blocker when using Archie or downloading files from Archie. There are many different types of software in use that offer pop-up blocking functionality, and we can't describe in detail how to use every single one. However, the same principle applies for all: you need to allow pop-ups for the Archie site: archie.cochrane.org (and for www.cochrane-net.org to view the help file). Most pop-up blockers alert you when a pop-up has been blocked, and provide you with the option to allow pop-ups to the site in the future. If it does not, you need to find the settings for the pop-up blocker, and add the site manually. For example, the built-in pop-up blocker in Internet Explorer on Windows XP Service Pack 2 can be configured by using Pop-up Blocker > Pop-up Blocker Settings... from Explorer's Tools menu.

3. IMS question of the week

Question: What are the differences between reviews viewed in RevMan 4.3 and those viewed in RevMan 4.2?

Answer: There are no differences between the review the authors view when using RevMan 4.2 and the editorial base's view in RevMan 4.3 unless you have used the new Track changes feature in RevMan 4.3 before sending the RevMan file to the authors. RevMan 4.2 does not fully support this feature, so authors will be able to see the highlighting of the changes but not be able to use the feature themselves. This could likely cause confusion and we therefore advise you to NOT use any Track changes marking in reviews sent to authors. The only other difference between RevMan 4.2 and 4.3 is that RevMan 4.3 communicates with the Archie Server
