1. Reminder: How to reassign a Primary entity if your CRG has been incorrectly assigned
If your CRG has been incorrectly assigned as the Primary entity for someone who has a role with your CRG, the Super User for your CRG can change the Primary entity to the correct one, but only if the person has a role with the other entity. To do this, open the person's Properties, go to the General tab, select the new Primary entity from the pull-down list, and click Apply. Note that once you have re-assigned the person to another Primary entity, you will no longer be able to edit the person. Contact your IMS Support person if you need help with this.
2. Fixed: Roles with strange numbers, e.g. "Author (81)"
You may have noticed that some of your authors appeared in Archie with a number in their role's Specification field - e.g. "Author (xx)". This was a side-effect of the problems with our last import of contact details from the Parent Database (which we no longer do). We have now centrally resolved this by removing all these numbers, so no action is required by CRGs.
3. Questions of the week
(a) Question: Should the first letter of "de", "van", "der" and "ter" start with an initial capital when used as part of a family name?
Answer: We contacted the Style Guide Working Group for guidance. They have told us that they will be including the following guidance in the next update of the Style Guide.
If the first name (or initial) is mentioned before the last name, do not start with an upper case letter (eg Peter de Groot). If only the last name is mentioned, or the initials are mentioned after the last name, do start with an upper case letter (eg De Groot 2005).
(b) Question: I can't see the 'OK' or 'Cancel' button on the IMS. Why?
Answer: This could be because your PC is set to 'large fonts'. To change the font size, go to 'Properties' by right clicking a free space on your desktop. Open 'Properties' and click the 'Settings' tab, followed by the 'Advanced' button, where you will be able to change the font size to 'small fonts'. You will have to restart your PC for the new setting to take effect.
(c) Question: When will authors start to use RevMan 4.3?
Answer: RevMan 4.3 is not a general release. However, RevMan 4.3 must be used by editorial bases when they move to Phase 2 of the IMS because it interfaces with Archie. Once the CRG's editorial staff feel confident working with the new IMS (probably after they have been using it for at least three months leading up to and including a module submission) and therefore able to support their authors in their use of the new IMS, CRGs can release RevMan 4.3 to their authors so that they can directly access their reviews in Archie. However, RevMan 4.3 should not be released to authors before the beginning of 2006 at the earliest because of issues about viewing rights and privacy in Archie which are still to be agreed. We would therefore advise you to discuss the possible use of RevMan 4.3 by your authors with your IMS Support person once you have moved to Phase 2. Depending on when you move to Phase 2, you might decide not to move your authors over until the release of RevMan 5. RevMan 5 will be a mandatory release.
