1. Reminder: Role of regional IMS Support person

Please remember to contact your regional IMS Support person either by telephone or email if you have any queries or issues you would like to discuss in relation to the new IMS (Archie) or messages one of us has sent out on behalf of the team. Your IMS Support person will aim to respond within one working day. If you don't get a reply within one working day, forward your email to general@support.cc-ims.net and another member of the support team will respond.

2. Frequency of Bulletin for Super Users of CRGs

The IMS Bulletin for Super Users of CRGs will now be compiled every two weeks rather than weekly. This means that the next Bulletin will be circulated on Friday, 1 July 2005.

3. Questions of the week

(a) Question: I am now using the Collaboration's approved Entity roles in Archie. To avoid confusion, can I delete the roles I no longer should be using from the list of roles specific to our CRG?

Answer: The CRG's Super User is responsible for creating, editing and deleting the list of roles specific to your CRG. The CRG's Super User can add, delete and remove roles from a CRG's list of available roles from the Roles tab within the Properties for the CRG. For details of how to do this, see Help > Help topics: Resources\Entities\Editing Entity roles.

You may have noticed that the role Statistician was not added to the list of CRG specific roles on Monday. We apologise for this oversight. It should now appear in your CRG's list of specific CRG roles. If not, please inform your IMS Support person.

(b) Question: What is the difference between Entity roles and Document roles?

Answer: An Entity role is the role a person plays within the Cochrane Collaboration, e.g. TSC. Every person must have at least one Entity role before they can have a record in Archie. A Document role gives a person access rights to a particular document, e.g. an author can only access the reviews for which s/he has been assigned a Contact Author or Co-author, and Module editor can be assigned to a TSC to allow the TSC access to the module text to edit the search strategy section. Document roles can only be assigned by Super Users of CRGs once the CRG has moved to Phase 2 and is working with reviews and the module text. (3) Question: Is the Specification field (linked to a role) searchable?

Answer: Not at this point. However, if you copy the Specification into a Note, you will be able to use Advanced Search to search for it in the Notes. The ability to search in Specification is likely to be implented soon.
