1. Presentation/style of contact details in IMS

It is important that all IMS Super Users use the Collaboration s preferred style when adding or editing contact details in the IMS. If there is an inconsistency in the style used then a duplicate will be created. At present, you can find the style guidance in the RevMan User Guide but we have asked the Cochrane Style Guide Working Group to consider adding the style guidance for contact details to the Cochrane Style Guide. Here is a reminder of the guidance currently given in the RevMan User Guide:

  • Use open punctuation for any suffixes, for example Jr, III or MD
  • No punctuation at the end of each line of the address
  • Use the international format for all telephone and fax numbers, without hyphens (i.e. +[country code] [area code] [local number], e.g. +45 35 455571)
  • E-mail addresses should be in lowercase letters, e.g. 'myname@mydomain.org'.

2. Reminder: only one contact ID for each author in a CRG

To avoid the creation of duplicates and to ensure that the correct contact details for your authors are published in The Cochrane Library, remember you should only have one contact ID for each of your CRG's authors. The contact ID should be unique not only to that person when working on reviews for publication through your CRG but also unique within your CRG's list of contact IDs.

3. IMS question of the week

Question: Why has a record I have marked as a duplicate not appeared in my list of duplicates?

Answer: The reason the duplicate will not have appeared in your CRG's list of duplicates is because you will have marked it as a duplicate of another record for which you are not the Primary entity. Only the Super User of the Primary entity will be able to view the duplicate and resolve it.
